More than 20 years after their first win, the Villanova University men's basketball team won the 2016 NCAA March Madness tournament. While there was a lot of celebrating throughout the university community, there was also many lessons learned in terms of event communication and engagement, says Sandy Upton, assistant director for development operations, Office of University Advancement.

Since the tournament includes 68 teams and 6 rounds, it moves at  a fast pace and once a team wins the latest round, its fans are often scrambling for the latest official information - who will their team face next, where will the game be held, and where can they watch the game, for example. With that in mind, Villanova's main goal, says Upton, was to provide a mobile-friendly source of up to date information for its constituents.

The Hematology (the study of blood) Debate offers a mix of plenary sessions and interactive workshops designed to provide scientific and clinical updates on topics relating to a range of hematological malignancies. The format enables attendees to participate in discussions on topics of interest with experts in the field and international peers, and gives them the opportunity to personalize the program to their own specific requirements.

At the 2014 event, Stova provided a comprehensive iPad app for the conference, which was held in Berlin. The conference that year brought together 300+ attendees in a highly interactive setting, where the event app played a strategic role. Upon arrival to The Hematology Debate, attendees received an iPad to use onsite that was later returned at the end of the conference. The conference app was pre-installed on each iPad, and since the iPads were locked to be used for one app only, the attendees always had direct access to the conference app when opening their personal iPad.

The app was beautifully designed according to the Janssen corporate style guide and blended seamlessly with the event theme and style. It was packed with useful information for attendees, such as the overall program agenda, speaker bios and upcoming events. Content updates were instantly delivered to all iPads, for example last-minute changes in room location for workshops. Attendees also had access to a personal page where they could review their personal workshop registrations and departure information with pickup times and flight details. Attendees could also use private messaging to ask conference organizers general and logistical questions while onsite.

Stova also provided onsite assistance for both organizers and attendees throughout the conference. For this high-stake conference, an onsite server infrastructure was deployed to provide 100% reliability, and to remove any dependency on internet connections.

During a speaker session or workshop, the app aided in increasing attendee engagement. Attendees could ask questions from within the app, which were delivered to a scientific moderation team, and selected questions were forwarded to the moderator on stage. This guaranteed more, relevant questions being asked in each session.

Speaker slides were accessible during each presentation inside the app, as well. Attendees used the notes functionality in the app intensively, to take notes linked to a slide, a speaker, a session or any other topic. Personal notes were delivered by email to each attendee at the end of the conference.

Finally, at the end of each session, attendees used the Aventri app to rate each speaker directly, and they also completed a final evaluation of the overall event. Results were captured in real-time and made available to event organizers as an instant Excel download. The attendees were also asked to rate the iPad app and content, which received an overall rating of 86%!

The StadiumBusiness Summit is the world’s leading meeting for the owners, operators and developers of stadiums, arenas and sport venues from around the world. Each year, the event assembles a world-class speaker line up of those who are disrupting the industry to share, debate, discuss and decide the future of the business. Hundreds of CEOs, GMs and industry experts representing the world’s greatest sports teams and venues attend the event annually.

The organization’s 2013 event was comprised of four different venues, four conference tracks, two stadium tours and one awards night. It was also the first year they used a mobile app for their 417 attendees and Stova was selected. “In short, we were delighted with the response,” says Ian Nuttall, founder of Xperiology.

The Stova mobile app for the StadiumBusiness Summit 2013 included features such as information lists for attendee, exhibitors, sessions and speakers. It also had floorplans to make for easy event navigation and a news feed so that attendees could get all the latest updates. Event organizers were also able to send 32 push notifications to keep attendees informed of program updates, preevent information and program highlights.

At the end of the event, organizers recorded nearly 3,000 individual app sessions and 17,721 app actions across the 84% of attendees that took advantage of the app.

“All our different stakeholders reported positive [feedback about the app],” Nuttall says. “Our sponsors appreciated the additional marketing and communications channel. Our attendees enjoyed the networking tools – and the push notifications, which also helped us direct visitors to the right places at the right time during what was an operationally challenging event.”

EUROCITIES is the network of elected local and municipal governments of major European cities. It brings together the local governments of over 135 of Europe’s largest cities and over 45 partner cities, that between them govern 130 million citizens across 39 countries.

For the 2013 EUROCITIES conference, more than 400 city leaders and attendees from across Europe met together in Ghent, Belgium. The topic of the conference was “Smart Citizens.” The mobile conference app produced by Stova was a central tool for all attendees to stay informed, view their personal program, network among attendees, request brochures and local products, find the various venues across the city and much more.

The conference app was promoted prior to the event in registration emails, as well as onsite during the EUROCITIES opening presentation with a short live demo. Conference staff also created a mobile app communications plan that was executed onsite, which included sending out nine push notifications to attendees to keep them informed and engaged throughout the event.

To promote social networking, upon arrival, photos of attendees were taken at the welcome desk, and the images were uploaded and displayed in the app. A conference app help desk was also in place to help attendees that forgot their password, and to lend an iPad with the app pre-configured in case they did not have a smartphone or tablet of their own.

Overall, the most popular features used at EUROCITIES 2013 were attendee, speaker session and exhibitor lists, as well as the conference newsfeed, the basic information page, floor plan and personal favorites/bookmarks. Attendees could also scan QR codes using the app to receive a gift bag with local products. Each personal gift bag was filled according to the items scanned by the attendee.

Post-event, attendees also received an email after the event with a list of all their bookmarks made onsite. Conference organizers also used the Stova app platform to easily download reports with items scanned per attendee.
